You can use the Search Needs page to locate a need in your database by searching
and/or filtering your complete list of needs.
Then you can perform an action on that need if necessary.
To use this page:
- Enter one or more keywords in the need name, AND/OR
- Select any filter conditions. You can filter by
need status,
top folder,
location,
user, and/or
days left.
- Press "Go".
Needs that match the search keyword(s) and filter conditions will
be displayed in a list at the bottom of the page.
The "Stat" column displays the need's status (A=Active, R=Reviewing, I=Inactive).
Postponed needs will also show "(ppd)" in this column, and expired needs will display "(expd)".
Once you've found the need you're looking for, you can:
- Click on a column header (Days left, Folder, Item) to sort by that column.
- In the Actions column, click on the "Actions" button to perform one of several actions on the need.
This pops up the Need Actions Menu.
Please refer to that topic for information about each action you can perform.
For some needs, a "Quick Update" action will be available (see below)
- Click on the need name to view the Need Properties page.
Quick Updates
If a check box appears in the "Actions" column for a need,
a "Quick Update" may be performed on the need. These "Quick Updates" are available:
- Activate.
Needs with "Inactive" and "Reviewing" status display this check box.
The Activate action sets the need's status to "Active",
making the need currently available on your shopping lists.
- Un-postpone. Postponed needs have a start date in the future.
The Un-postpone action will remove the start date,
making the need currently available on your shopping lists.
- Un-expire. Expired needs have an end date in the past.
The Un-expire action will remove the end date,
making the need currently available on your shopping lists.
Saving Your Updates. When you perform an action with a "Actions" button,
that action is completed on the spot for each need, one-by-one.
For the "Quick Update" check-box actions,
Press the "Save updates" button at the bottom of the page to save your actions.
They will all be performed at once.
Retrieving Postponed or De-Activated Needs
In some cases you want to get a postponed or inactive need back onto your current shopping list.
Here is a simple process for doing that:
- Pop up the Search Needs < page
(you can do this from the "Get postponed needs" button on the Shopping Lists < page).
- Enter keyword(s) of the need(s) you're looking for.
- Select "-All states-".
- Press "Go".
- Find the need(s) you're looking for in the list,
and check the Quick Updates you want to perform (e.g. Un-postpone or Activate).
- Press "Save Updates"
- Wait for the updates and view the results presented.
- Close the "Search Needs" page and refresh your shopping list to see the needs on your list.
